Closing and archiving records

Close Outreach and Opportunities when they are no longer active. Archive Channels, shared Resumes, Company Profiles, and Journal entries when you want to keep them for reference without seeing them in routine lists.

Closing or archiving keeps the record and its content. Use the Record state filter to find closed or archived records.

Getting Started

Use Sandbox to explore sample records before adding your own records to your Cloud or Desktop workspace.

  1. Explore Sandbox.

Select Explore Sandbox below Settings in the sidebar. Edit sample records freely, then use Exit Sandbox to return to your Cloud or Desktop workspace.

  2. Capture and review in Intake.

Keep interesting job descriptions, links, and messages in Inbox until you decide what to pursue.

  3. Log direct outreach when needed.

Use Outreach to keep emails, calls, messages, and follow-up context separate until they become an opportunity.

  4. Research companies when needed.

Use Company Profiles to keep private company research, hiring observations, and follow-up notes together.

  5. Find your records.

Use Search in the sidebar for Workspace Search. Matching excerpts help you find names and phrases in notes, job descriptions, and company research.

  6. Back up your Desktop workspace.

On Desktop, use Settings › Backup & Restore to manage automatic backups or create and restore local backups.

Sandbox session

Sandbox is for practice, not for keeping your job-search records. Your changes remain when you exit and re-enter Sandbox, but are cleared when you reload, close the app, sign out, or switch accounts.

AI processing in Sandbox uses your account's normal credits and usage limits.

Opportunities

An opportunity is the central record for a job, contract, or consulting prospect.

Managing an opportunity

  • Create an Opportunity for a specific role you want to pursue. You can also bring one over from Inbox or Outreach.
  • Keep the job description for reference. Analyze job description can help you review it, but check the result against the original.
  • Use Board to see your pipeline, List to find and compare opportunities, and Insights to review progress.
  • Move cards between board columns as your search progresses. Use Focused Board when you want to concentrate on one stage.
  • Keep application dates, deadlines, and follow-up plans with the opportunity so you can see what needs attention.
  • Choose a resume in Application Details and keep cover letters or other supporting documents alongside it.
  • Use Related records to review company research and earlier contact before your next conversation.
  • To revisit a closed opportunity, include closed records using the Record state filter in List.

Notes & Activity

Keep interview notes, follow-up plans, and other activity with the opportunity. Choose Save changes to save your notes and other edits together.

Turn on Counts as contact for calls, emails, and other exchanges so Last contact helps you decide when to follow up.

Insights

Compare where your opportunities and interviews came from to help decide where to focus your search.

Outreach

Outreach records direct contact before it becomes an opportunity, including emails, calls, messages, and conversations with employers or recruiters.

  • Choose Log Outreach and add a note about the conversation. Cloud Free supports up to 5 open outreach records.
  • Add notes as the conversation develops, and keep relevant files or links alongside them. Choose Save changes to save your notes and other edits together.
  • Use Needs reply when you owe someone a response, or Awaiting response when you are waiting to hear back. Close the record when you are no longer pursuing the conversation.
  • Turn on Counts as contact for calls, emails, and other exchanges so Last contact helps you decide when to follow up.
  • When a conversation leads to a specific role, choose Create Opportunity. This moves the conversation and its supporting material into an Opportunity, where you can add the role and application details.
  • Use Related records to review earlier contact and company research before reaching out again.
  • To revisit a closed conversation, include closed records using the Record state filter.

Company Profiles

Keep company research, past experiences, and reasons to pursue or avoid a company, so you can review what you already know before applying again.

  • Choose New Company Profile, or open a profile from Related records in an Opportunity or Outreach record.
  • Keep research notes, useful links, and supporting documents together so you do not need to repeat the same research.
  • Record what you think of the company's credibility and hiring practices, and why you would pursue or avoid it.
  • Archive profiles you no longer need in your routine list. You can return to them when considering the company again.

Intake

Use Intake to review captured job descriptions, links, and messages, keep a Search Journal, and see Insights into your search activity.

Inbox

Keep incoming material here while you decide what to pursue.

  • Choose Save URL to keep a link, Paste job description for role details from a website or recruiter email, or Save message for the message itself.
  • Add notes about why it interests you or what to check next.
  • For a job description, you can use Analyze job description to make it easier to review. Check the result against the original before saving.

When you are ready to pursue it

  • Choose Convert to Opportunity for a specific role you want to pursue.
  • Choose Convert to Outreach for a recruiter conversation or networking lead without a specific role. Job descriptions belong in Opportunities.
  • Review the details and save. The new record replaces the Inbox item and keeps the material you captured. Delete Inbox items you do not want to pursue.

Search Journal

Search Journal records where you searched, what you focused on, and what you learned.

  • Choose Log Search after a search session. Note where you looked, what you tried, and any next steps; add time spent in hours when useful.
  • Choose View search tips for guidance from the Channels you used.
  • Use New from this when repeating a search, rather than entering the same details again.
  • Search previous entries to avoid repeating unproductive searches or to pick up where you left off.
  • Use Insights to review activity over the last 30 days and decide where to spend time next.

Channels

Channels describe sources such as job boards, company websites, recruiters, and referrals.

  • Choose an existing Channel or create one for a source you use. Reusing the same Channel helps you review which sources have been useful.
  • Mark frequently used Channels as favorites so they are easier to find.
  • Add Search Tips to keep useful keywords or search advice handy for your next visit.
  • Archive Channels you no longer use. To find them again, include archived records using the Record state filter. Channels already used by other records cannot be deleted.

Resumes

Resumes can be shared across opportunities or targeted to one specific opportunity.

Shared and targeted resumes

  • Find shared resumes and targeted versions for active opportunities in the Resumes list. Filter by Shared or Targeted when you need a particular kind.
  • Create shared resumes for reusable versions of your materials.
  • Use a targeted resume when an opportunity needs a customized version.
  • Add a file, a hosted URL, or both to a resume record.
  • Archive shared resume versions you no longer use. Include archived records using the Record state filter to find them again.
  • When an opportunity closes, its targeted resume stays attached to that opportunity. Open the closed opportunity to access it.

Desktop Backup & Restore

Save a copy of your Desktop workspace and restore it when needed.

Creating a backup

On Desktop, open Settings › Backup & Restore, choose Create Backup, then store the generated .owbackup file in a secure location.

Automatic desktop backups

The desktop app makes daily backups automatically. You can turn this off, choose a custom folder for automatic backups, or create a manual backup at any time. If the chosen folder is unavailable, the file will be saved to the default backup folder instead.

Restoring a backup

On Desktop, choose Restore Backup and select a .owbackup file created by Opportunity Workspace.

Account & Privacy

When sign-in is required

Cloud requires an Aspectium Cloud account. Desktop requires an account for purchase and activation, then core features work offline. Account-based services such as AI processing require sign-in.

Account and help controls

Use the user icon in the application bar to check your signed-in email, manage your account on the website, or log out. Use the question-mark button for documentation or to contact support.

Your data

Cloud records, settings, and attachments are stored on Aspectium Cloud. Desktop data stays in local storage and is not synced to Aspectium Cloud.

Closing or archiving a record keeps its content for reference; it does not delete it.

AI and telemetry

You do not need AI to save or organize your records. If you choose Analyze job description, the original description text is sent to the AI service. You can change optional anonymous telemetry in Settings.

See the Privacy Policy and Terms of Service.
