Overview

Aspectium Opportunity Workspace is a local-data application for managing job searches. Your workspace data stays on your device.

Getting Started

Demo data is created when you first open the application, so you can explore before adding your own records.

  1. Explore the demo workspace.

    Navigate using the sidebar and edit demo records freely.

  2. Remove demo data when ready.

    Use Remove Demo Data in the top bar. This removes demo records while keeping the rest of your data.

  3. Capture or import an opportunity.

    On desktop, use Save Posting to quickly capture a job-posting URL; in any edition, add one manually or use AI-assisted job-posting processing.

  4. Log direct outreach when needed.

    Use Outreach to keep emails, calls, messages, and follow-up context separate until they become an opportunity.

  5. Create a backup.

    Protect your workspace before you depend on it.

Opportunities

An opportunity is the central record for a job, contract, or consulting prospect.

Managing an opportunity

  • Create an opportunity manually when you already have the details, or use desktop Save Posting to quickly save a job-posting link and fill in the title and company later.
  • Move active opportunities through Interested, Researching, Applied, and Interviewing on the board.
  • Track waiting state, due dates, follow-ups, highlights, concerns, notes, attachments, and the job description. On desktop, Focused view expands one board column so you can work through its cards with less scrolling.
  • Sort the list by its column headers. The active header shows the sort direction, and the most recently viewed opportunity remains marked when you return.
  • Use the Application Details section to associate a shared resume, targeted resume, or no resume.
  • Keep application records, resumes, cover letters, and other documents together; files and links can be viewed or opened from the record.
  • On desktop, use Previous and Next to move through the current filtered and sorted collection of opportunities without returning to the list or board.

Outreach

Outreach records direct contact before it becomes an opportunity, including emails, calls, messages, and conversations with employers or recruiters.

  • Use Log Outreach to create a record. Company is optional, but each record needs at least one conversation entry before you can save it. The Web App supports up to 5 open outreach records, including demo records.
  • Conversation entries support a date, notes, and optional file or link attachments. Add more entries to retain an ongoing exchange.
  • Active outreach is Awaiting Response. Close a record as Rejected, Ghosted, Expired, or Discarded when the outreach is no longer active.
  • Use Create Opportunity when an outreach produces a lead worth tracking. Its conversations and external links are copied to a new preliminary opportunity, and the outreach record is marked Converted.
  • Search, filter, and sort the Outreach list by its column headers; Last Contact is newest first by default.
  • On desktop, use Previous and Next to move through the current filtered and sorted collection without returning to the list.
  • Matching company names connect related outreach records and opportunities, so you can see earlier contact in the opportunity details.

Sourcing

Sourcing sessions record where and how you searched for opportunities.

  • Choose the channels used for a search.
  • Add one or more search queries to a session and use Open Search for each query.
  • Record filters, notes, and results alongside the queries you used.
  • Use Search Again to repeat useful searches with their saved channel, queries, and notes.
  • For supported job-board channels, use the displayed search-syntax guidance when building searches.

Channels

Channels describe sources such as job boards, company websites, recruiters, and referrals.

  • System channels provide common source types.
  • Create custom channels for sources that are important to your search.
  • Use channels consistently to make sourcing history easier to review.
  • Job-board channels can include optional search-syntax guidance to help with manual searches.

Resumes

Resumes can be shared across opportunities or targeted to one specific opportunity.

Shared and targeted resumes

  • Create shared resumes for reusable versions of your materials.
  • Use a targeted resume when an opportunity needs a customized version.
  • Add a file, a hosted URL, or both to a resume record.
  • Archive old versions when they should no longer be used.

Backup & Restore

Backups are local ZIP files that protect your workspace or help transfer it to another device.

Creating a backup

Open Settings > Backup & Restore, choose Create Backup, then store the generated file in a secure location.

Automatic desktop backups

The desktop app makes daily backups automatically. You can turn this off, choose a custom folder for automatic backups, or create a manual backup at any time. If the chosen folder is unavailable, the file will be saved to the default backup folder instead.

Restoring a backup

Choose Restore Backup and select a backup created by Opportunity Workspace. Restoring replaces all current data and cannot be undone. On desktop, the app backs up current data before restore begins.

Account & Privacy

When sign-in is required

Sign-in is required for AI-assisted job-posting processing and account or session management. Core workspace features do not require an account.

Your workspace data

Signing in does not upload opportunities, outreach records, resumes, notes, attachments, or sourcing history to Aspectium servers.

AI and telemetry

Only pasted job-posting text is sent for AI processing. Anonymous telemetry is optional and can be changed in Settings.
